One organized workspace for your equipment, customers, rentals, routes, service visits, and billing records.
Bring your daily rental operations together with Portable Toilet Rental and Route Manager, available from Eldon-Digital.
This multi-user Windows application connects the records behind your portable sanitation business. Organize customer information, review equipment availability, prepare rental quotations, coordinate service work, build routes, and maintain billing records from a consistent browser-based workspace.
Run the application on a Windows host computer and allow authorized staff to connect through compatible browsers on your trusted local network.
Digital software package with an illustrated PDF guide. No physical product is shipped.
Current release: Version 1.0.1 is a development release with working core features and documented limitations. Full production acceptance has not been completed. Review the included release documentation before using it for business operations.
👥 Multi-user access keeps your team connected. Give staff individual accounts and access to shared records based on their responsibilities.
Your administrator can configure access for:
- Administrators managing the application and its settings.
- Dispatchers coordinating operational work.
- Rental and billing clerks maintaining bookings and financial records.
- Drivers accessing assigned work.
- Yard and maintenance staff managing equipment activity.
- Read-only users reviewing permitted information.
Connect additional computers, tablets, and phones through their browsers. Only the host computer needs the application package.
The host must remain running and reachable. Multi-user performance depends on your computer, network, workload, and data volume. No specific simultaneous-user capacity is promised.
🖥️ Start with a clear operational overview. The dashboard provides an overview of your records and convenient access to common tasks.
Move between customers, equipment, rentals, service visits, routes, and billing using a consistent navigation system. Search tools, status filters, archived-record controls, and saved views help you locate information when you need it.
🤝 Keep customer and site information together. Maintain the details your office and field staff need to prepare for each job.
- Store customer names, contact information, and billing addresses.
- Create separate service sites linked to customers.
- Record site contacts and access instructions.
- Document service windows, hazards, and placement notes.
- Attach supporting files to relevant records.
- Maintain supplier information.
Keep billing details connected to the customer while preserving the specific instructions for each service location.
🚽 Maintain organized equipment records. Track individually identified units and supporting equipment throughout their operational history.
- Assign unique asset identifiers and barcode values.
- Record equipment categories, locations, and conditions.
- Review equipment history.
- Track maintenance, cleaning, and inspection work.
- Record stock receipts and usage with movement reasons.
- Maintain driver and truck records.
Physical equipment condition is tracked separately from future rental commitments. This helps distinguish equipment that is ready in the yard from equipment already reserved for another booking.
📅 Review availability before confirming a rental. Check equipment capacity across the requested rental interval.
The availability tool considers relevant reservations, turnaround buffers, and equipment conditions. Create timed holds or confirm reservations while checking for allocation conflicts.
The current interface uses an interval checker. A drag-and-drop scheduling calendar is not included.
📝 Connect quotations, rental orders, and contract records. Keep booking information together as a customer inquiry moves forward.
- Prepare quotations with customer, equipment, rental dates, pricing, currency, and tax details.
- Convert quotations into rental orders.
- Review reservation information and rental status.
- Create contract records.
- Capture typed acknowledgment of recorded contract terms.
Typed acknowledgments are stored within the application. They are not certified digital signatures.
🚚 Coordinate deliveries and pickups. Connect operational jobs to the equipment and rental involved.
Record expected and actual equipment, support complete or partial fulfillment for individually identified units, and follow returned equipment through cleaning and inspection.
These records help office and yard staff understand what was planned, what was completed, and what needs further attention.
🧼 Organize recurring service visits. Generate visits for selected weekdays and date ranges, then record the work performed.
- Maintain service checklists.
- Record actual equipment serviced.
- Add notes and reported start and end times.
- Document visit outcomes.
- Record missed work and its reason.
Keep service history connected to the relevant rental and site records.
🗺️ Prepare routes and dispatch information. Build routes around your scheduled delivery, pickup, and service work.
Assign a route date, driver, truck, and depot. Add stops, arrange them manually, and review equipment-position capacity as the route progresses.
Export route information and load sheets for operational reference.
Route ordering is manual. Dispatchers remain responsible for reviewing travel time, access windows, payload, water, waste, and other operating constraints. Automatic route optimization and GPS navigation are not included.
💵 Maintain connected billing records. Keep invoices and recorded payments alongside your rental information.
- Create and review invoices.
- Post invoices to preserve their recorded details.
- Record partial payments and payment references.
- Issue authorized credits.
- Review outstanding balances.
- Record deposit receipts and refunds separately.
- Maintain cost records.
The application records financial activity. It does not process credit cards or automatically connect to banks. Automatic deposit application to invoices, advanced billing adjustments, and comprehensive accounting reports are outside the current feature set.
🎨 Create clear, branded documents. Present business information with bold typography, colored sections, and highlighted summaries.
Add your business name, address, contact details, and logo to supported documents. Export records in practical formats:
- PDF: Formatted documents for viewing, printing, and sharing.
- Excel: Structured workbooks with formatted headers and typed data.
- CSV: Plain tabular data for compatible spreadsheet and data tools.
Where available, export filtered results, the current page, or selected records. Prepare route information and load sheets for reference outside the application.
Email drafts can be prepared for a configured mail client. Automatic email sending and delivery tracking are not included.
